The Acoustical Society of America

The Acoustical Society of America (ASA) is committed to protecting your privacy and values your trust. This Privacy Policy describes the information that we collect from you, how we collect this information, and what we do with it after we collect it. This policy applies to all information collected or submitted on the ASA website, ASA journals online submission and peer-review systems, and via email or other forms of communication.

Acknowledgement

By visiting the ASA website (the Site) and providing information to ASA via ASA journals online submission and peer-review systems, email or other forms of communication, you are accepting and consent to the practices and provisions of our Privacy Policy.

What information is collected and how it is used

Personal Information you provide voluntarily. We collect Personal Information that you voluntarily provide to us in a variety of ways, including when you visit our Site, register for a conference, submit or review a manuscript, respond to a survey, complete a form, purchase publications, and in connection with other activities, services, features, or resources we make available (e.g., to receive services such as email alerts and newsletters). You may be asked for name, title, organization, mailing address, email address, phone and fax numbers, social media handles, credit/debit card information, demographic and diversity information, and other personal contact details (collectively, “Personal Information”). We also may collect information on your views and preferences as they relate to ASA services.

In some cases, such as profile pages, user forums, and interactive Site features, any Personal Information you provide may become publicly available to other users and the general public and is not considered confidential. When you voluntarily disclose such Personal Information, that information may be collected and used by others, resulting in unsolicited messages from others. Where you have publicly posted Personal Information, ASA is free to reproduce, publish, or otherwise use such information for any purposes.

We may use your email address to contact you from time to time about new offers or product enhancements. We may also use page tags (a.k.a. “web beacons”) in html-based emails which allow us to see whether specific users have opened, forwarded, or clicked on a link in an email. Information about what users are interested in helps us to improve our offerings.

We also may collect information about the computer you are using to connect to the Internet (such as the operating system and the Internet service providers utilized and other similar information) and about your web browser, the time that your browser was used to access our Site, and the referring website’s address. We may also use tools such as Google Analytics.

For example, we may aggregate non-personal information about you and other individuals who visit our Site. Knowing more about who uses our site and how they use it helps us to make improvements. This information is maintained and used in aggregate form only and does not contain information that can be linked back to you.

ASA may collect and use your Personal Information for legitimate business purposes, including the following:

Information you provide allows us to facilitate your access, purchase, use and/or participation in our product and service offerings, such as conferences, education programs, volunteer opportunities, publications, videos and webinars, surveys, and other products and services related to users and the physics community.
To improve customer service
Information you provide helps us respond to your customer service requests and support needs more efficiently.
To personalize user experience
We may use information in the aggregate to understand how our users as a group use the services and resources provided on our Site.
To improve our Site
We may use your information and feedback to improve our products and services.
To send periodic emails
We may use your email address to respond to inquiries, questions, and/or other requests. You may also receive ASA news, updates, surveys, related product or service information, etc.
To provide targeted services and content

Sharing Your Personal Information

We may share your Personal Information with business partners and other third parties to deliver content, materials, and services available on or through the Site and to provide you with products or services that may be of interest to you. We may share your personal information with the following categories of recipients:

Third party service providers (“Service Providers”) who provide (without limitation) administrative/operational services; data processing; marketing & communication services; editorial and publishing services; meeting management services; website development & hosting services; database services; credit card processing; conference registration; conference/event hotels and venues; or other processing of personal information for purposes that are described in this privacy policy or notified to you when we collect your Personal Information.
Third party list services for use by companies in the field. ASA has a policy to use or sell its customer lists only for the delivery of information deemed of potential relevance or interest to members of the physics community. We are not responsible for the use or misuse of your Personal Information by these companies. ASA offers an option to remove your information from any list that might be sold or given to another organization. To do so, please contact the appropriate ASA department with which the list is associated.
Affiliated business partners, such as exhibitors, sponsors and advertisers, who may receive webinar or event attendance lists that include your full name, address, company name, and email address. We are not responsible for the use or misuse of your Personal Information by our affiliated partners.

We may occasionally send you offers on behalf of third parties or promote such offers on our Site. If you do accept a third party offer or request additional information, the third party may collect other personal information directly from you. Once a third party has your personal information, it is governed by the third party’s privacy policy. We also may share generic aggregated demographic information not linked to any Personal Information regarding visitors and users with our business partners, trusted affiliates and advertisers for the purposes outlined above.

ASA also may provide Personal Information to third parties if ASA reasonably believes that release of information is necessary to: 1) comply with legal requirements or legal process; 2) protect or defend the rights or property of ASA; or 3) protect other users of the Site or the public.

Site users may have been assigned or have created a user name and password to be used for accessing portions of the Site. We maintain that information to allow you to access the Site and to maintain our relationship with you or provide specific services to you.

ASA expressly reserves the right to contact any user regarding account status, renewals, or other matters relevant to subscription or service.

How we keep information secure

ASA is committed to safeguarding your information. We make commercially reasonable efforts to protect your information both online and off-line. However, we cannot guarantee the absolute safety of your information. If you become aware of any breach of Site security or this Privacy Policy, please notify us immediately.

Data security

To maintain data security, we have put in place appropriate procedures to safeguard sensitive information.

All online purchases you make with ASA are secured with SSL (secure socket layer) encryption using encryption certificates issued to ASA by well-known and reputable certificate authorities such as VeriSign and RapidSSL. You will know that you are in a secure session because the “http” in the URL box of your browser will read “https”.

ASA continually monitors the security status of its networks and has taken reasonable measures to ensure intrusion prevention.

Ecommerce

ASA adheres to the Payment Card Industry (PCI) Data Security Standard developed to protect account and transaction information of cardholders. We partner with a secure and reliable payment system provider and employ industry-standard anti-fraud measures.

Choices you have

You choose what information to supply to this Site. Please share only information as is needed or that you believe is appropriate. You are under no obligation to provide us with Personal Information, but without it we may not be able to respond to your request or provide services.

User-generated comments and postings to ASA sites will be moderated by editorial staff who retain the right to edit and to remove inappropriate submissions. By commenting or participating in an online discussion, you consent to our use or disclosure of any content you submit.

Protection of children's personal information

ASA sites are general audience sites and do not knowingly collect any personal information from users under 18 years of age.
